Managing reminders

FilingKeeper sends four kinds of email. Two go to your practice, one goes to your clients, and one is only ever sent when you ask for it.

To your practice

  • Deadline digest — daily, listing anything at 30, 14, 7 or 1 days out. It goes to everyone in the practice, so cover during leave needs no arranging.
  • Partner digest — Mondays. The week in one email: overdue, due this week, blocked, open document requests, and what arrived last week. It is skipped entirely if your book is quiet.

A deadline is only ever reminded once per window. Re-running a job, or a delivery retry, can never send the same reminder twice.

To your clients

  • Document chase — the first goes three days after you raise a request, then every four days, up to four in total.
  • It stops on its own the moment everything is received, and it only ever lists the items still outstanding.
  • It only runs on requests that have a client email address and are still pending or partial.

Chasing emails go to your client with your practice named as the sender. Check the address is right before the first one goes out.

Statutory dates never move

A due date that lands on a weekend or bank holiday stays exactly where the statute puts it. FilingKeeper never quietly shifts a deadline.

What does move is when we tell you: reminders are dispatched on a working day, so a Sunday reminder reaches you on the Friday before.
