Adding clients

Everything FilingKeeper knows comes from the client record. Get these fields right once and the schedule takes care of itself; get one wrong and the dates for that client will be wrong, so it is worth a minute's care per client.

Fields that drive dates

  • Entity type — limited company, sole trader or partnership. This decides which obligations exist at all.
  • Accounting reference date — the year-end. Drives annual accounts (+9 months), Corporation Tax payment (+9 months and 1 day) and the CT600 (+12 months).
  • Incorporation date — used for the first confirmation statement and for the first-accounting-period rules.
  • Last confirmation statement date — the confirmation statement is the review period end plus 14 days.
  • VAT registered, scheme and stagger — the VAT return and payment are period end plus 1 month and 7 days, so the stagger group decides which months.
  • Self Assessment — 31 October on paper, 31 January online and for the balancing payment, 31 July for the second payment on account.
  • Payroll — monthly PAYE on the 22nd, P60 by 31 May, P11D by 6 July if you tick P11D required.

Importing from a spreadsheet

  1. Export what you already have

    Most practices have this in their practice management system or a spreadsheet. One row per client, with the dates as dates.

  2. Clients → Import

    Upload the CSV and map your column headings to FilingKeeper's fields. The mapping is remembered for the file you are importing.

  3. Read the preview

    It shows what will be created and lists rows it could not read, with the reason. Fix those in the spreadsheet and re-upload — nothing has been written yet.

  4. Confirm, then generate

    After importing, press Generate deadlines. Every imported client gets its full schedule.

Do not put financial figures, UTRs or HMRC credentials in the import file. FilingKeeper has nowhere to store them, and they should not be in a CSV in the first place.

Dormant companies

Tick Dormant on a company that is dormant for Corporation Tax. FilingKeeper then flags CT for manual review instead of calculating a date, because a dormant company's position depends on facts the system cannot see.

Companies House obligations — accounts and the confirmation statement — still generate as normal.

Changing a client later

Edit the client and regenerate. FilingKeeper refreshes the dates but never touches work you have already done: a filing you marked submitted stays submitted, with the same timestamp, the same person, and its proof attached.
